What is an ATS, and how does it read your CV before anyone else does?
You apply on a company website and the advert says your CV must be ATS-friendly. What is that system, and why does it decide what happens to your CV before anyone opens it? Here it is in plain words, with a way to check whether your current CV is read.
ATS in short
ATS stands for Applicant Tracking System: the software a company receives applications in. Every CV you upload on a company site or a job platform goes into it first.
Well-known systems include Workday, SAP SuccessFactors, Oracle Taleo and Greenhouse, and many job platforms run their own. They differ in detail, but all start the same way: they turn your file into text.
Before a recruiter sees your CV, the system sees it as raw text.
What it does with your CV, step by step
It extracts the text from the file, splits it into sections by their headings (experience, education, skills), and pulls out fields: your name, phone, email, job titles and dates.
Then the recruiter searches the applicant pool for words like 'accountant', 'SAP' or 'project management', or the system ranks applicants by how well they match the advert. A CV the system misread does not show up in that search at all.
- Read the file and turn it into text
- Split the text into sections by headings
- Extract name, contact details, titles and dates
- Match against the words in the job advert
Does the system reject my CV automatically?
Usually not by itself. The more common outcome is that your CV is never found: the recruiter searches for a word that is in your experience, but the system read your file scrambled or empty, so nothing matches.
Some adverts add screening questions, such as a degree, years of experience or a licence, and applicants who do not meet them are filtered out. Those are questions on the application form and have nothing to do with your CV's layout.
The usual problem is not a rejection. It is a CV nobody finds.
Why Arabic CVs are harder for the system
A PDF stores letters by where they are drawn on the page, and Arabic is drawn right to left. From some files, the words of a line come out reversed when the text is extracted.
A Word file stores the text in the order you typed it, so this does not happen. For Arabic CVs, send Word unless the advert asks for PDF by name.
What 'ATS-friendly' actually means
It means one specific thing: the system reads every word of your CV in the right place. It does not mean the system will shortlist you; that depends on how well your experience matches the job.
- One column, read top to bottom
- Standard section headings: Experience, Education, Skills
- Real text in the file, not an image
- Name, phone and email in the body, not the page header
- One date format, such as 2021 – 2024
- The advert's own words where they are true of you
How to tell whether your current CV is read
A quick test: open your file, select a line, copy it and paste it into any text box. If you cannot select the text, the file is an image and the system finds nothing in it. If the words come out in a strange order, that is what the system reads.
For a closer look, upload your file to the free ATS checker: it shows what a system extracts from your CV, its score and what would fix it, with no sign-up.
An ATS is not against your CV; it is a literal reader. It reads the text in the file, not the design you see. One column, standard headings, real text and the advert's words, and what you wrote arrives as you wrote it.
