Administrative work looks unmeasurable, which is why most letters for these roles are weak. It measures perfectly well: how many managers you support, how many meetings a week, how large the filing system, how much time you saved by automating something repetitive.

This is a guide, not something to send verbatim. Replace every number and company name with your own — a copied letter is easy to spot, and numbers that aren't yours fall apart in the interview.
I am applying for your Administrative Assistant position. I have five years in executive support, and what stood out in your advert was the need for someone to run the diaries of a full leadership team — which is what I do daily for three executives.
At Al Faisal Trading Group I manage the diaries of three executives and coordinate an average of 25 meetings a week across four branches. I rebuilt the electronic filing system covering more than 4,000 documents, cutting retrieval time from 15 minutes to under two. What makes this role's letter different
Turn duties into numbers
"Organising meetings" carries no weight. "Coordinating 25 meetings a week across four branches" is a line the reader remembers.
Name the software
Microsoft Office, SAP Ariba, the document system. "Computer literate" matches nothing in an applicant tracking system.
Address confidentiality
An administrative assistant sees sensitive material. Mentioning experience handling confidential documents answers a real worry the employer has.

Mistakes that sink this role's letter
- Calling yourself "organised and detail-oriented" with no evidence. Those two are proved by an example or left out.
- A single typo in the letter. In this role specifically it is not a slip — it is a work sample.
- Omitting the scale of support. Supporting one manager is not supporting a 30-person department, and the number states your level immediately.
- "Proficient in Microsoft Office" with no detail. Say what you actually do: advanced spreadsheets, mail merges, presentation-ready decks.
- Ignoring confidentiality. An administrative assistant sees salaries, contracts and sensitive correspondence, and saying you handle that discreetly is something managers value.
- A generic letter that would fit any employer. An assistant in a hospital is not one in construction — reference their sector.
One weak line, one strong one
The difference between two letters is not the language but the evidence. Compare the pairs and you can see it.

Before you send
- Read the letter aloud once more. This is a role judged on accuracy, and one error is enough.
- Subject line: "Application — Administrative Assistant — [your name]".
- Letter in the email body, CV attached with a Latin filename.
- Check the company name and job title in the letter match the posting exactly.
- Never send an archive. One file only.
